Email Templates

Sixty-four things a rep would otherwise type by hand: the lead, the deal, today's date, their own name. They fill themselves in before the message leaves, and only out of records that rep was already allowed to open.

A template merging against a record

values are escaped on the way in here; the subject line is not
Hi Dana, Following up on Meridian renewal, worth £48,000, closing 14 September 2026. Source: (empty). Account: {{account.name}}. Regards, Priya Raman, (empty)
Custom fields merge too, addressed as contact.custom followed by the field key, and the same shape for a deal
Only declared names are replaced. Nothing fetches an account into the merge, so the fourteen account names leave in the message as literal text, the way a misspelt one would.

Product figures from the platform’s own defaults - not customer averages

The mechanism

How it works.

01

Merging checks you can open the record first

Before one placeholder is filled, the lead and the deal named in the request are fetched again under the same rules that decide what you can see on screen. Somebody who cannot open a record cannot pull its fields out through a template either.

02

What a customer typed into a field cannot break the message

A record field can hold markup somebody pasted in, so values going into an HTML body are made safe first. The subject line is plain text and takes the value as written.

03

Dates and money follow the workspace

Timezone, locale and currency come from workspace settings, so a close date reads the same for the person writing and the customer it is about, whichever machine rendered it.

04

A typo ships as a typo, never as a blank

Only the names with a value behind them are ever touched, so a misspelled one goes out as the literal text you can see and fix. That is a far better failure in front of a customer than a silent gap where their name should be.

Where it sits

One moment in every message.

Every message passes through the same seven. Email Templates is the lit one, and everything either side of it is a different page in this category.

  1. 01
    Connect

    the account it syncs with

  2. 02
    Compose

    writing it, and from what

  3. 03
    Send

leaving now, or on a schedule

  4. 04
    Arrive

landing, and what it lands as

  5. 05
    Attach

pinning it to the right record

  6. 06
    Book

the meeting that comes of it

  7. 07

The specifics.

8 facts
Placeholders
Sixty-four across ten groups, covering the lead, the deal, today's date and the sender
Custom fields
Merged too, addressed as contact.custom followed by the field key, and the same shape for a deal
Company fields
A business lead carries its company columns on the same row, so the company name and address merge like any other field on it
Escaping
Values merged into an HTML body are escaped. The subject line is not
Formatting
Dates in the workspace timezone and locale, amounts in the workspace currency
A field with nothing in it
Merges as empty. It is an unrecognized name, not an empty value, that ships as its own text
What you can see
Templates you made, plus everything inside a group shared with your role or one of your teams
Not the same as
Template Permissions, which is the sharing itself rather than the writing

More in Email & Calendar

12 capabilities

Webmail, four mailbox connections, tracking, calendar and meetings.

Calendar Sync

Book a slot while the customer is still on the line and the invitation is in their inbox before you say goodbye. What they change comes back when you sync.

Gmail Sync

Mail is here without anybody pressing refresh or forwarding anything, filed against the lead holding the address. Google knocks the moment something changes.

Outlook & Microsoft 365

The mailbox stays connected, and a message somebody moved is not sitting here twice. Outlook and Microsoft 365 over Graph, picking up only what changed.

Exchange Sync

A Microsoft mailbox brings its diary and address book with it, and whether it sits in Microsoft 365 or on a server in your building is worked out for you.

IMAP & SMTP

The connection for a mailbox nobody hosts for you. We sign in for real before saving the hosts and ports, so a typo is caught while you are still at the form.

Open & Click Tracking

What does not count is the useful part: a rep opening their own message, a crawler, the same person twice in five minutes. A figure a supervisor can act on.

Snooze & Send Later

Park a thread and it comes back at the hour you named, unread, so nobody walks past it. Hold a send and it leaves at the hour you named, once, never twice.

Meeting Scheduling

A meeting agreed on a call is never lost because somebody else's service was slow. The booking is saved here first, then the room and the calendar entry.

Zoom

Move the meeting an hour and the Zoom room moves with it, on the link guests already have. Delete the booking and the room goes too, with nobody chasing it.

Google Meet

The join link is made by the calendar itself, on the same save that books the meeting, so nobody hunts for it later. One Google account is the whole setup.

Microsoft Teams

Pick Teams on a booking and the join link is written into the invitation guests receive, so nobody chases it in a follow-up. A room you own travels too.

Email-to-Record Matching

Mail files itself against the lead, on a rule short enough to print: the addresses on the lead, matched exactly. No domain guessing, and nothing to dispute.
