Lead Stages

Where a lead stands before there is a deal to move. Name the stages your floor actually argues about, color them, order them and rate them, and six fixed categories keep last quarter comparable with this one underneath.

What you can change on it

Pick any stage above. Color and order are yours on all of them; the name is the one that depends on where the stage came from.

A record moves by having its stage set, and the stage is a row rather than a hard-coded enum. Retire one and the leads on it are set to no stage rather than deleted, so nothing is lost when the pipeline is reorganized.

The mechanism

How it works.

01

Make your own, and they behave like any other

A stage is a name, a color, a place in the order, a description and a category. Add as many as the floor needs and rename one when the vocabulary moves on: the record points at the stage rather than storing its spelling, so every lead sitting on it follows without being touched.

02

Six categories, and only six

Every stage belongs to one of them: new and initial contact, qualification, engagement, sales process, and the two outcome buckets. That list is fixed on purpose, because it is what keeps a report comparable after somebody adds four stages. Which one a given stage sits in is yours to set, on the seeded stages too.

03

Move the lead and the rating moves with it

Hot, warm or cold sits on the stage rather than on the lead, so moving a lead re-rates it and nobody keeps a second field in step. A stage can carry none at all, which is the right answer for the ones that mean finished rather than cold.

04

Eleven arrive so nobody starts on a blank page

New Lead, Attempted to Contact, Contacted, Qualified, Not Qualified, Interested, Meeting Scheduled, Proposal Sent, Negotiating, Converted, Lost. Colored, sorted and rated before anybody opens the settings page, and yours sit in the same list beside them.

Where it sits

One moment in every record.

Every record passes through the same seven. Lead Stages is the lit one, and everything either side of it is a different page in this category.

8 facts
Catalog
Eleven seeded stages across six categories, plus as many of your own as you add
Categories
New contact, qualification, engagement, sales process, and two outcome buckets
What you set
Name, color, order, description, category, temperature and whether it is live
Temperature
Hot, warm or cold, or none at all where the stage means finished rather than cold
Ordering
Sort order is what the picker follows, and reorders in one call rather than one per stage
Names
Held unique across the catalog, so a second Qualified cannot be created beside the first
Retiring one
Take it out of the live list. A stage still under a lead is not removed until the lead moves off it

This is where a lead has reached. Pipeline stages track where the deal has

12 capabilities

The system of record the phone writes to directly - nothing to sync.

Lead Sources

The same source can never arrive spelled three ways. Ten come seeded and sealed, yours sit beside them, and renaming one carries every lead holding it.

Custom Fields

The thing your business tracks that no CRM ships with. Eleven types on leads, deals, products and vendors, no migration to schedule and nobody to wait on.

Field Groups & Layouts

Some of what you collect is not for everyone on the floor. Close a whole section once per profile instead of opening and shutting a hundred fields one by one.

Advanced Filtering

Ask the same question tomorrow and the list narrows the same way, because the server settles it. Eighteen operators, fitted to the kind of field they sit on.

Bulk Actions

Tick the rows and act on them now. A mixed selection never fails whole: the records you may not touch are skipped and counted, and the rest all go through.

Bulk Import

Map the columns once and walk away. A file of any size is read a piece at a time, a failed row never stops the run, and a restart carries on where it stopped.

Duplicate Detection

The same person landing on your list twice is what this stops. Checked on the email, then the phone, as the record is written, with no score to argue over.

Activities & Timeline

Nobody writes this up. A field change keeps both readings, before and after, beside the notes, mail and tasks, so it still means something in six months.

Touchpoints

Every exchange with this lead on one line: calls, voicemails, mail and text. A call lands on the right record by the number it reached, linked by nobody.

Tasks & Reminders

A thing owed, by a named person, by a date. At the hour you set it leaves the product to find them, rather than sitting in a list waiting to be spotted.

Roles & Permissions

The rep two desks over cannot open the book you are working, and one BPO client never sees the next. Sixteen permissions, sharing rules across branches.

Goals & Leaderboards

A number, a window, and somebody standing against it. Attainment is worked out from won deals and logged work as you open it, so nothing sits going stale.
