Email-to-Record Matching
Mail files itself against the lead, and the rule is short enough to print: the two addresses on the lead, matched exactly against every address on the message. No domain guessing, no name guessing, nothing to dispute.

How it works.
Two addresses and nothing else
A lead's main address and its secondary one. Neither the company domain nor the display name is ever consulted, so there is no score for anybody to dispute and no threshold to tune.
Being copied files it too
Sender, recipients, copies and blind copies are gathered, deduplicated and asked as one question. A thread a rep was merely copied on files as readily as one addressed to them.
A name wrapped around an address does not defeat it
The address is taken out of the name that wraps it. A bracketed value that is not address-shaped is thrown away in favor of the first thing on the line that is.
It reaches backward as well as forward
A worker sweeps mail already stored and claims what is unclaimed, so putting an address on a lead brings over the correspondence that was already sitting there. That pass reads the sender and recipient lines only, the deliberately narrower rule for old mail.
Two moments in every message.
Every message passes through the same seven. Email-to-Record Matching is the lit ones, and everything either side of it is a different page in this category.

8 facts- Compared
- The lead's primary and secondary address, lowercased, matched exactly
- Considered
- On a synced message, the sender line plus every recipient, copied and blind-copied address. On a send from the composer, the recipients only, because the sender is you
- Several holders
- One query with no ordering, so which of them wins when two leads carry the address is not defined
- Never consulted
- The sending domain, the display name, or any resemblance between two of them
- Deals
- Not inferred at all. A message carries a deal only when somebody composed it against one
- Runs on
- Every message stored by the Gmail, Microsoft and IMAP sync workers, and every send from the composer where no lead was named
- The backfill pass
- Sweeps stored mail for a newly added address on the sender and recipient lines, leaving mail you were merely copied on alone
- Confidence
- There is none to record. The match is exact or it does not happen, which is why no threshold is offered
What this sits beside.
Mail and diary are one surface with several parts. These are the ones a person passes through in the same minute.
More in Email & Calendar
11 capabilitiesWebmail, four mailbox connections, tracking, calendar and meetings.
Book a slot while the customer is still on the line and the invitation is in their inbox before you say goodbye. What they change comes back when you sync.
A Microsoft mailbox brings its diary and address book with it, and whether it sits in Microsoft 365 or on a server in your building is worked out for you.
Templates with merge variables, organized into groups and granted per team, so the answer your best rep writes becomes the answer everybody sends.
Regulated copy stays with the people allowed to send it. Filing a template into a group is what shares it, so there is no second step for anybody to forget.
What does not count is the useful part: a rep opening their own message, a crawler, the same person twice in five minutes. A figure a supervisor can act on.
Park a thread and it comes back at the hour you named, unread, so nobody walks past it. Hold a send and it leaves at the hour you named, once, never twice.
Nobody retypes their sign-off. It is held once per mailbox and added on the way out, so mail from the platform arrives looking like mail from a person.
A meeting agreed on a call is never lost because somebody else's service was slow. The booking is saved here first, then the room and the calendar entry.
Move the meeting an hour and the Zoom room moves with it, on the link guests already have. Delete the booking and the room goes too, with nobody chasing it.
The join link is made by the calendar itself, on the same save that books the meeting, so nobody hunts for it later. One Google account is the whole setup.
Pick Teams on a booking and the join link is written into the invitation guests receive, so nobody chases it in a follow-up. A room you own travels too.
The rest of the platform.
Five more categories, all on the same record and the same bill. Each card names three of its capabilities, so you can tell from here whether it is worth opening.
