Follow-Up Extraction

A promise made out loud is worth nothing until it sits on a day. Callbacks and meetings are pulled off the call with whatever time was genuinely said, and become real work the moment somebody accepts one.

Callback or meeting · title, time where one was said, confidence, and the quote it came from
Accepting a callback creates the task, and accepting a meeting creates the meeting. Until then these are readings of a conversation with the words they came from, sitting in the same review queue as the field updates.

The mechanism

How it works.

01

Two kinds, and nothing beyond them

A callback or a meeting. Which one it is decides the task type on the other side, so a meeting arrives as a meeting task rather than as one more number to ring.

02

Times are optional and are allowed to stay missing

Due, start and end may all be absent. Where nobody named a day, the row arrives without one instead of with an invented Thursday, because a diary full of guesses is worse than a diary with holes in it.

03

Accepting creates the task and gives it an owner

Title, type, dates and notes are written, assigned to whoever took the call, or to the person reviewing when the call had no agent. An assignee record follows so the work lands in a genuine queue rather than only in an administrator's list.

04

Nobody gets booked twice for the same promise

Before a row is written the call is checked for a pending or accepted follow-up of the same kind and title. Analyzing the same conversation a second time therefore does not put a second callback on somebody's day.

Where it sits

Two moments in every read.

Every read passes through the same seven. Follow-Up Extraction is the lit ones, and everything either side of it is a different page in this category.

8 facts
Kinds
callback and meeting. A meeting may carry a start and an end, a callback a due date
Times
Optional throughout. A follow-up with no stated time is created without one
Each row carries
How sure the model was, between zero and one, plus the words it heard the promise in
Accepting
Writes a task owned by the call's agent, or by the reviewer where there was none
Linking
Attached to the lead when a number on the call matches one, and left loose otherwise
Bulk accept
Asks for confirmation beyond five rows and takes the low confidence ones with it
Re-analyzing
Looks for the same kind and title on that call before adding anything
Not the same as
This creates work. Field suggestions edit columns on the lead instead

More in Intelligence

12 capabilities

AI that proposes edits to the record - an insight becomes a field once you accept it.

Call Analysis

A supervisor who used to open the audio reads it instead: what the call was about, how it went, what was asked for, what it scored. One reading, one answer.

Sentiment Analysis

Finding yesterday's bad calls is a filter, not an afternoon. Positive, neutral or negative on every analyzed call, kept in a field of its own you can sort on.

Tonality Analysis

How the agent sounded, how the customer sounded, one word for the pair. Chosen words rather than a fixed list, so a call can close politely and grudgingly.

Call Scoring & QA

A month of calls gets reviewed by whoever had time. Every call carries five numbers instead, and the overall is judged in its own right rather than averaged.

Compliance Scoring

Nobody re-listens to check the disclosure went out. Every call is scored against what compliance means on your floor, with a missing one excluded, not passed.

Diarized Transcripts

A coaching note never quotes the customer back at a rep who did not say it. Four of six engines return the channel each side was on, one control swaps them.

Industry Presets

A collections call and an admissions call are not judged the same way. Fifteen verticals ship knowing the difference. What comes back still reads the same.

AI Email Analysis

A thread is read only when somebody on it is one of your leads. No match and nothing is sent anywhere, so mail that is not about a customer is left alone.

AI Email Writing

A draft or a rewrite that lands in the composer and stops there. The subject is a suggestion, every word editable, and nothing leaves until a person sends it.

AI Field Generation

The field group you would otherwise build one field at a time. Describe what you track or paste a spreadsheet's columns, then approve or refuse each field.

Natural-Language Filtering

Type the list you want and it builds the filter and the sort. Then it says in one sentence what it understood: a filter nobody typed has to say what it did.

Bring Your Own Model

OpenAI, Azure, Anthropic, Gemini, Bedrock and ten more. When one starts timing out mid-afternoon the work moves down the chain rather than stopping on you.
