What Goes Wrong Today, and What Changes.
Today
A referral arrives on Monday and sits in a shared inbox until Thursday. By then the patient has booked elsewhere.
With Adoptiv
Load referrals as leads and work them on preview dialing, so the scheduler reads the referring practice and the reason first. The outcome sets the next step: a task, a second attempt or a text.
Preview dialingToday
The recall list never gets worked, because whoever would call is busy with the patient at the desk.
With Adoptiv
Run recall lists as their own call list with voicemail detection, and each call goes out from the number that patient has answered before.
Smart caller IDToday
Lines open at eight and every one rings at once. A patient who can’t hold calls somewhere else.
With Adoptiv
Call queues spread the rush across sites, so a quiet desk takes calls for a busy one, and a callback holds the patient’s place while they hang up.
Call queuesToday
A 3pm cancellation leaves the chair empty, and the waitlist won’t pick up a number they don’t know.
With Adoptiv
Text the waitlist from the practice’s number. Replies arrive threaded per patient, so the desk sees who answered first and calls them to book.

Set Hours per Site
Write each site’s weekly hours, half days and holidays once, and every queue and flow follows them.
Build the Morning Queue
Share calls across sites, offer a callback when the wait runs long, and route after-hours calls to the duty phone.
Work the Lists
Call referrals and recalls on preview dialing, and text reminders and open slots from your own numbers.
Healthcare Call Center Software, from the 8Am Rush to the Recall List.
Healthcare call center software answers, routes and follows up patient calls for clinics, dental groups and specialist practices. Adoptiv works as a medical office phone system with a patient access center’s tools built in: queues, callbacks, routing across sites, outbound calling and texting, with every call on the patient’s record in Adoptiv.
When lines open, call queues spread the rush across sites, and a callback lets a patient hang up and keep their place. Business hours and holiday calendars are set per site, so after-hours call routing switches itself: an urgent option rings the duty phone, then falls back to a named voicemail box. A supervisor can whisper to a new hire without the caller hearing.
Patient recall calls run on preview dialing, so staff read the record before the call, and each call goes out from the number that patient has answered before. Appointment reminder texts and open-slot offers go out from the same numbers, and replies arrive threaded per patient. Preview dialing comes with Dialer Plus.
It suits a dental office phone system as well as a multi-site group. Keep texts to reminders and requests to call back, never clinical detail: Adoptiv is not offered under a BAA, and the SOC 2 audit is in progress, as the security page explains.

Your Questions, Answered.
What is healthcare call center software?
Phone software for clinic front desks and patient access teams: queues and callbacks for busy mornings, routing across sites, recall and referral calling, and reminder texts, with every call logged.
Is Adoptiv a HIPAA compliant phone system?
Adoptiv makes no HIPAA claim. It is not currently offered under a business associate agreement (BAA), and the SOC 2 audit is in progress. If your program needs either before evaluation, the security page states exactly where both stand.
Does Adoptiv connect to our EHR or practice management system?
Not yet. Preview dialing shows the patient’s record in Adoptiv, not the clinical chart, and appointments are still booked in your own scheduling system.
What can we send patients by text?
Appointment reminders, open-slot offers and requests to call back, from the number your desk calls on. Keep results, diagnoses and other clinical detail out of texts. Adoptiv does not award a slot to the first reply: your desk reads the replies and books.
What happens to calls after hours?
Each site’s hours and holidays switch the call flow for you. After hours, callers can choose an urgent option that rings the duty phone, then falls back to a voicemail box named for the on-call schedule. Adoptiv routes the call; it does not triage it.
Can each site have its own hours and holidays?
Yes. Business hours and holiday calendars are set per site, so a half day at one site or a holiday at another switches the call flow by itself, and a closed site never plays the main greeting.
How do patient recall calls work?
Load the recall list and work it on preview or power dialing, with voicemail detection, on Dialer Plus. Each call goes out from the number that patient has answered before, and a sequence can text first.
Should clinics use predictive dialing for patient calls?
We don’t recommend it. Preview dialing calls one patient at a time with the record open first, which suits patient calls. Predictive dialing, which dials ahead of staff, is built for large sales lists.
Can new front-desk staff be coached on live calls?
Yes. A supervisor can listen to a live call and whisper to the new hire without the patient hearing.
